3How does the substitute assignment process work?

When a teacher requests time off, Relief Roster automatically notifies available substitutes based on your criteria (qualifications, availability, divisions). Substitutes can accept assignments directly through the platform, and everyone receives automated confirmations and reminders.
4Can we customize Relief Roster for our school's specific needs?

Yes! Each school gets their own branded subdomain (yourschool.reliefroster.com) with customizable settings for divisions (EC, LS, MS, HS), rotating schedules, block schedules, custom fields, and approval workflows that match your policies.
5How long does implementation take?

Most schools are ready to start onboarding within 1-2 days. Our automated onboarding process handles domain setup, and our team helps with initial configuration, staff import, and training. Once the onboarding process is done, which generally takes 1-2 hours depending on the complexity of your organization, you should be ready to roll out Relief Roster to your staff.

Relief Roster tracks all substitute hours automatically and generates detailed pay reports that can be used to supplement the school's tax documentation (W-9s, 1099s). Administrators can review, approve, and export payroll data for processing.
9Can teachers and substitutes use Relief Roster on mobile devices?

Yes! The platform is fully mobile-responsive and works on any device with a stand alone app scheduled to be released in Q1 of 2026. Teachers can submit absence requests from their phones, and substitutes receive instant notifications and can accept jobs on the go.
10What kind of support and training do you provide?

We provide comprehensive onboarding training for administrators, documentation for all user roles, and ongoing email support. Our platform is designed to be intuitive, with most users becoming proficient within minutes.
11How do you handle complex scheduling like rotating blocks?

Relief Roster natively supports rotating block schedules, period-specific assignments, multi-day absences, and holiday calendars. You can configure your exact schedule rotation pattern and the system handles all the calculations automatically. Our new Time Blocks feature allows for schools to use multiple different schedules during a school year to support schedules such as "Winter Term" that might have a different class schedules. You can create an additional time block to then return to your original or updated schedule for the Spring term.
12Can we manage volunteers through Relief Roster?

Yes! Our Volunteer Management module lets you onboard volunteers, manage applications, post opportunities, track volunteer hours, and maintain all volunteer records in one centralized system.
13What happens if a substitute cancels at the last minute?

The system immediately notifies administrators and automatically re-posts the assignment to other available substitutes, ensuring you find coverage quickly.
14How do you handle different pay rates for substitutes?

You can set default rates and create custom rates for specific substitutes, divisions, or assignment types. The system automatically applies the correct rate and tracks everything for payroll. The Sub Pay portal supports both daily and period-based pay scales with the ability to set daily maximum pay.
15Is there a contract or long-term commitment required?

We only sell yearly licenses for Relief Roster, which go from July 1 to June 30 of the following year. The option to renew is communicated in the late Spring ahead of the July 1 reset date. Pricing is prorated for schools that enter into a contract after January 1st and will be re-billed for the July 1 school year start.
